This overview describes the flow of the migration process from Exchange by 3rd party hosting company to Office 365. Please read this information to see how the migration is implemented and who is responsible for each step.

Prerequisites: Exchange service provided by 3rd party hosting company.

Migration Plan:

  • Gather information about current Exchange environment
  • Create Office 365 organization and accounts
  • Data Migration
  • Check Office 365 accounts
  • Switch DNS settings to the Office 365 environment

Step 1. Gather information about current Exchange environment
Plexhosted and Customer: Our support team will work with you gather information about your current Exchange environment
Customer: Send the list of domain names, usernames etc. of your current Exchange organizations to Plexhosted
Step 2. Create Office 365 organization and accounts
Customer: Provide preferred domain name that you would like to use for your organization and users
Plexhosted: Create new Office 365 organization
Plexhosted: Send you a request to create a TXT record for your domain. This record is required to associate your domain with O365. This record is used only to verify that you own your domain, it doesn’t affect anything else. You can delete it later, if you like
Customer: Create a TXT record for your domain and inform our team.

Plexhosted: Setup your domain in O365. Create users. Assign temporary passwords
Step 3. Data Migration

  • Due to the fact that Exchange settings may vary, our support team will prepare a proper solution to retrieve the data from your current service provider to O365
  • Duration of this process may vary depending on the volume of data

Step 4. Check Office 365 accounts
Plexhosted: Send O365 account information to the customer
Customer: Login to the O365 portal and verify that the data has copied correctly

Customer: Confirm that data migration completed correctly
Step 5. Switch DNS settings to the O365 environment
Plexhosted: Provide new DNS settings (MX, Autodiscover, SPF etc.) to the customer
Customer: Change DNS settings (MX, Autodiscover, SPF etc.) accordingly

Customer: Check the mail flow and settings
Customer: Setup new Outlook and Mobile accounts

Plexhosted and Customer: Our support team will work with you to be sure that migration is 100% completed and O365 organization is working properly
Customer: Confirm that data migration completed correctly
Customer: Confirm that O365 organization is working properly
Plexhosted: Migration Completed. Close Exchange 2010 organization
